2. What personal data do we process?
We only process personal data that you provide to us yourself or that arises from your use of our website and services. This includes the following categories:
- Contact details: name, e-mail address, telephone number, company name.
- Message content: the content of contact forms, e-mails and chat messages you send us.
- Invoice and client data: name, address, Chamber of Commerce number, VAT number and payment information when entering into an agreement.
- Website usage data: IP address (anonymised), page visits, session duration and referring pages via Google Analytics.
- Cookies: see article 7 of this policy.
3. Purposes and legal bases
- Performance of a contract (Art. 6(1)(b) GDPR): to execute the assignment, send invoices and maintain contact with you regarding ongoing projects.
- Legitimate interest (Art. 6(1)(f) GDPR): for analysing website traffic to improve our services, handling incoming quote requests and running our business administration.
- Legal obligation (Art. 6(1)(c) GDPR): for retaining invoices and records in accordance with the statutory retention obligation (7 years).
- Consent (Art. 6(1)(a) GDPR): for sending newsletters or other marketing messages, if you have given consent to this. You may withdraw this consent at any time.
4. Retention periods
- Contact form messages and quote requests: maximum 2 years after last contact, unless an agreement results from them.
- Client files and project communications: 2 years after completion of the assignment.
- Invoices and financial records: 7 years in accordance with the statutory retention obligation.
- Website analytics data (Google Analytics): maximum 14 months.
- Newsletter subscriptions: until you unsubscribe.
5. Sharing with third parties
We never sell your personal data to third parties. We may use processors who act on our behalf. With all these parties we have entered into a data processing agreement or they are bound by appropriate privacy safeguards:
- Google Analytics — for anonymised website statistics (Google LLC, USA, adequacy decision / SCCs).
- Shopify — for building and managing webshops for clients (Shopify Inc., Canada, adequacy decision).
- Formspree / Netlify Forms — for processing contact form submissions (depending on usage per project).
- Accounting software / e-mail provider — for invoicing and client communications.
Outside the above cases we only disclose your data to third parties when legally required (for example at the request of the tax authority or police).
6. Your rights
Under the GDPR you have the following rights:
- Right of access: you can request which personal data we process about you.
- Right to rectification: you can have incorrect or incomplete data corrected.
- Right to erasure: you can request deletion of your data, to the extent no statutory retention obligation applies.
- Right to restriction: you can ask to temporarily restrict processing while an objection or correction request is being handled.
- Right to data portability: you can receive your data in a structured, commonly used and machine-readable format.
- Right to object: you can object to processing based on legitimate interest, including direct marketing.
- Right to withdraw consent: for processing based on consent you may withdraw it at any time, without affecting the lawfulness of prior processing.

7. Cookies
Our website uses cookies and similar technologies. We distinguish the following categories:
- Functional cookies: necessary for the correct functioning of the website (session cookies, preference settings). No consent required.
- Analytical cookies: Google Analytics places cookies to measure website usage. We have enabled IP anonymisation and data is not used for advertising purposes. You can refuse cookies via the banner on our website or via your browser settings.
You can delete cookies at any time via your browser settings. Please note: some website functionality may no longer work optimally if you disable cookies.
8. Security
We take appropriate technical and organisational measures to protect your personal data against loss, unauthorised access, disclosure or alteration. This includes encrypted connections (HTTPS), restricted access rights and periodic review of our security practices.

Our website may contain links to third-party websites. Web Builders is not responsible for the content or privacy policy of these external websites. We recommend consulting the privacy policy of every website you visit.
10. Changes
Web Builders reserves the right to amend this privacy policy. Changes will be published on this page with an updated version date. We recommend consulting this policy periodically.
